Contract Process

Baylor Utilizes the platform Total Contract Management (TCM) for contracts: www.baylor.edu/tcm

TCM is overseen by Baylor Procurement who partner with units like Student Life to help us prepare and execute contracts that advance the mission of the University, enable our collective work, and protect the University from risk or harm.

Creating and executing a contract at Baylor has three steps:

Student Life prepares everything that is needed to enter a contract request (see below form)
Procurement helps create and/or approve a contract that can be executed (TCM)
The final approved contract is entered into Docusign where it is signed by the other party, and then by the Vice President for Student Life (the Board of Regents approved Baylor Signatory for Student Life)

*Please note that prior to any speaker/performer being invited to campus there is a separate Division of Student Life Speaker/Performer Prior Approval Form. This form must be filled out and then approved by the director/department head and Dean over that department prior to a contract request being initiated or entered into TCM.

Student Life Contract Request Process

Prior to a contract request being entered into TCM, there are a few steps on the Student Life side that need to be taken to ensure all details have been accounted for. Notably, we need to collect any needed information, enter or make plans for the supplier to be entered into TCM (or they will not get paid), and any contract request needs approval from the director/department head and Dean over that department.

All Student Life contract requests entered into TCM should have a Student Life Contract Request Form attached to them. If the contract is for a speaker/performer it should also have the Division of Student Life Speaker/Performer Prior Approval Form attached as well (2 forms).
